Zoom gives the option of scheduling meetings directly from Outlook if you have a Zoom account. 

To do this, you first need to Download the Outlook Plugin


Once Downloaded and installed you will see a new Zoom section in the menu of Outlook, shown below: 

NOTE: If you had Outlook open during the install you will likely have to close and reopen it for the items to appear










Select the "Schedule a Meeting" button to bring up a menu interface for Zoom. 

If you have not signed into Zoom on your computer, it will present an option to sign in first.



In this menu, most options can be left on their default values but there are some main ones to pay attention to - 

  • Require meeting password - puts a password on the meeting, without which the meeting cannot be joined
  • Video - Generally these options should both be left on, allowing those who join to turn on their webcams
  • Audio - Selects what sources participants can use to speak
  • Advanced Options - Though labeled advanced, there are quite a few useful features even for the general user
    • Enable Waiting Room - puts a waiting room in place where the meetings host must admit users, even if they have entered a password
    • Enable join before host - This allows participants to join a meeting in case the host is running late or if the participant is a little early
    • Mute participants upon entry - All those who join will be muted upon entry and must unmute themselves, useful for avoiding participants joining mid conversation with someone on their side or if background noise is present (dogs, cars, kids, etc. )
    • Schedule for: If you have been given scheduling permissions for another user, you can schedule meetings on their behalf to place the meeting under their account



When all information is configured as desired and you select "Continue" the information will be automatically populated into Outlook's calendar format, with dates and times all configured. The Meeting link and information can be seen in the meeting details, shown below, and the meeting can therefore be shared in Outlook via the normal scheduling means.
